Privacy Policy

General

KeyPal maintains a policy of strict confidence concerning personal information it obtains. Our privacy policy has been developed in accordance with the national privacy principles of the commonwealth privacy act 1988 (privacy act). Any permitted handling of personal information under any of these laws will take priority over this privacy policy to the extent of any inconsistency.

How do we collect the personal information?

Where possible, we will collect your personal information directly from you. We may do this in person, in writing, by telephone, email and through our website. For security, training and dispute resolution purposes, we may also monitor and record your communications with us (including telephone and email) and operate video and audio surveillance devices in our premises and other areas of operation.

Where you provide us with personal information about another person, you must have their consent for KeyPal to collect and handle their information in accordance with this privacy policy. We generally collect your personal information directly from you but may also collect it from third parties, including your short term stay hosts, real estate agents, car key agencies, service apartments, hotels and contractors.

Use and disclosure of information

Any personal information we obtain is used to help provide an efficient service to you. We also maintain and update our records, verify your identity, correspond with you, protect our lawful interests and deal with your questions, requests, and concerns.

KeyPal may also collect, use and disclose personal information that you provide (eg. when signing up to our locker service) to provide marketing communications and targeted advertising to you on an ongoing basis by telephone, SMS, email, online and other means, unless you opt out or we are subject to legal restrictions.

When you provide credit card details online these will pass automatically between your browser and our bank’s secure payment site for authentication (via KeyPal app). We do not at any time see or have the ability to access your credit card details online.We may also collect, use and disclose your personal information in connection with:

  • suspected fraud, misconduct, or unlawful activity.
  • lawful information requests from courts, government agencies and legal practitioners; and
  • acquisitions or potential acquisitions of our business.We hold personal information electronically and in hard copy form, both at our own premises and with the assistance of our service providers.

Accessing and correcting personal information we hold about you

All requests for access to personal information held by us should be made in writing to the Privacy Officer at the addresses set out below. If you want to access personal information on behalf of another person, you will need to provide a signed written consent from that person. If the personal information is no longer needed for any purpose, we take reasonable steps to destroy or permanently de-identify the personal information.

Accuracy

KeyPal takes all reasonable steps to ensure the information it retains is accurate, complete, and up to date. If any information we have is incorrect, please contact us immediately and we will take all reasonable steps to correct it. All personal information is kept within a secure environment. Information obtained in our computer database is protected by fire walls and requires password access to designated personnel.

Our website and emails

When using our social media and website “keypal.com.au” (collectively” Sites") we may collect information about location or activity including your IP address.

In the operation of our Sites, we use technology that allows us to monitor traffic patterns and ascertain and record information such as how people use our Sites, how long they access various pages and which links they click, including links that bring them to our website. We use this information to improve our Sites content and ease of use.

‘Cookies’ are used by keypal.com.au to track a visitor’s navigation in the Sites. Cookies are not used to collect or record any personal information. A cookie is a piece of information that allows our system to identify and interact more effectively with your device. The cookie helps us to maintain the continuity of your browsing session. You can change the settings on your web browser software to reject cookies but this may impact the functionality of some parts of our Sites.

Our Sites may use Google services such as Google Analytics from time to time. For more about how Google collects and processes data, please see Google’s privacy policy and their information at www.google.com/policies/privacy/partners/.

If you are considering sending us any other personal information through our Sites or via other electronic means, please be aware that the information may be insecure in transit, particularly where no encryption is used (e.g., email, standard HTTP). We take steps to protect the security of personal information once it comes into our possession.

Our Sites may contain links to other websites which are not controlled or maintained by us. Those links are provided for convenience only. We are not responsible for the content or privacy practices associated with linked websites.

Complaints and further information

If you believe your privacy has been interfered with and want to make a complaint, please contact our Privacy Officer. The Privacy Officer will investigate your complaint and notify you of the outcome. If your complaint indicates that there has been an interference with your privacy by a person other than KeyPal, the Privacy Officer may discuss the complaint with that other person to resolve it.

If you are not satisfied with the outcome of your complaint or the way we handle it, you may make a complaint to the Office of the Australian Information Commissioner at OAIC.gov.au/privacy/making-a-privacy-complaint.
